HOW CREWDILIGENCE WORKS

How CrewDiligence turns Right to Work requirements into a live assurance workflow

CrewDiligence translates the guidance into a live operational workflow. Each stage addresses a specific control requirement and creates the evidence needed to show how that control operated in practice.

THE PLATFORM IN PRACTICE

Six stages. One controlled workflow.

01 Organisation

WHAT THE RULES REQUIRE

Where the written-statement requirements apply, the statement must cover prescribed checks, prior written consent to further subcontracting, equivalent downstream obligations, audit rights, enforcement action and co-operation with Home Office investigations. Contractual terms alone are not enough.

HOW CREWDILIGENCE HANDLES IT

CrewDiligence onboards each subcontractor into a controlled organisation record, capturing declarations, supply-chain information and the project-specific controls that need to flow down the chain.

WHAT YOU CAN EVIDENCE

A clear record of who was approved, what obligations were accepted and what assurance information was provided.

WHAT THE RULES REQUIRE

Businesses may need to demonstrate how the contractual chain operated in practice, including which parties were involved and what controls applied to the arrangement.

HOW CREWDILIGENCE HANDLES IT

CrewDiligence links each subcontractor to the relevant project, records the required contractual controls and manages the approval process before workers are allocated.

WHAT YOU CAN EVIDENCE

A project-specific record showing which organisations were authorised to work and which controls applied to them.

WHAT THE RULES REQUIRE

The direct employer remains responsible for the prescribed Right to Work check, but where extended liability applies, upstream parties may need to demonstrate that appropriate arrangements were in place and working effectively.

HOW CREWDILIGENCE HANDLES IT

CrewDiligence creates a named worker allocation linked to the subcontractor and project, records the relevant Right to Work evidence and flags incomplete or review-required records before work starts.

WHAT YOU CAN EVIDENCE

Which individual was allocated, which organisation they were linked to and what Right to Work evidence was recorded.

WHAT THE RULES REQUIRE

Where identity verification requirements apply, organisations must have proportionate systems and processes to ensure that the individual carrying out the work is the same person whose Right to Work was checked. The Home Office recommends re-verification at least once in any 24-hour period or shift of work.

HOW CREWDILIGENCE HANDLES IT

CrewDiligence links recorded attendance to approved allocations and current status, with substitutions and exceptions recorded against the project. Site teams are responsible for comparing the person attending with the approved worker and recording that check under their site procedure.

WHAT YOU CAN EVIDENCE

Attendance entries, allocation status, site identity checks where separately performed and recorded, substitutions, exceptions and actions taken. An attendance or QR record alone does not establish identity or Right to Work.

05 Assurance

WHAT THE RULES REQUIRE

Evidence of controls operating in practice may include audit records, compliance reviews, assurance information and records showing how concerns were identified and acted upon.

HOW CREWDILIGENCE HANDLES IT

CrewDiligence records audits, exceptions, findings and corrective actions in a structured assurance workflow rather than leaving issues buried in email chains or spreadsheets.

WHAT YOU CAN EVIDENCE

Audit records, assurance information, compliance reviews and a history of concerns, actions and resolution linked to the relevant project and worker.

06 Close-Out

WHAT THE RULES REQUIRE

Where extended liability applies, a statutory excuse depends on meeting the prescribed requirements and being able to provide evidence of compliance, including how arrangements operated in practice.

HOW CREWDILIGENCE HANDLES IT

CrewDiligence brings the organisation, project, worker, attendance and assurance records together into a structured close-out evidence pack.

WHAT YOU CAN EVIDENCE

A defensible chronology of who was authorised, who worked, what controls operated and how exceptions were managed.

Assurance around your existing responsibilities.

CrewDiligence does not replace statutory Right to Work checks or legal duties. It provides the control framework, workflow and evidence layer around subcontracted workforce assurance.
